Recount and identify the exact problem

Compare every piece with the pre-service list: garment type, colour, brand, size, pattern, quantity, and distinctive detail. Pair socks and check whether belts, liners, removable pads, hoods, or drawstrings are missing. Empty the laundry bag and inspect folds before declaring an item lost.

For suspected damage, compare the same measurements and features shown in earlier photos. Note whether the issue affects fit, colour, print, surface, seams, fasteners, elastic, waterproof coating, embellishment, or odour. Separate observation from assumption.

Photograph useful evidence

Take a wide photo of the full garment, close photos from multiple angles, the care label, brand and size label, order tag, packaging, and receipt. Use a ruler beside a tear, mark, or changed dimension and photograph under neutral daylight when possible.

Save original images with timestamps and make copies before sending compressed versions through messaging apps. Record when you opened the package, who was present, and what you did next. Keep the physical garment unchanged until the provider responds.

Report it to the responsible service

Contact the named laundry and the hotel if it arranged pickup or delivery. State the order number, specific missing or damaged item, return time, evidence available, and checkout deadline. Ask who will manage the case and how to reach that person.

Request a written incident or claim number and a copy of the service’s loss, damage, rewash, and compensation terms. Stay factual: “The blue shirt has a new 4 cm tear beside the left seam” is more useful than “the machine destroyed everything.”

For a missing piece, ask the service to check the collection vehicle, intake count, sorting area, wash and dry batch, machine, ironing station, racks, packing area, delivery bag, hotel desk, and orders processed at the same time. Provide a photo that shows the item without exposing unnecessary personal information.

Agree on a search deadline and update channel. Do not visit staff-only laundry work areas or confront other customers. If the item may be in another order, let the provider handle privacy and recovery.

Handle shrinkage, colour change, or physical damage

Ask the provider to compare the care label, instructions recorded at intake, treatment used, and existing-condition notes. For shrinkage, record flat measurements against a similar garment or reliable prior measurement. For dye transfer or fading, photograph under consistent light with a neutral reference.

Do not accept an immediate rewash or alteration unless the method, risk, cost, and effect on your claim are clear. Some corrective treatments can worsen fibre, colour, coating, or size. For valuable garments, request an independent cleaner or textile specialist assessment before further work.

Return someone else’s garment securely

Do not wear, photograph personal labels for public posting, or leave the garment in a corridor. Place it back in its packaging, note when it was found, and return it to the verified laundry representative or hotel desk against a written acknowledgement.

Ask the service to recheck your order at the same time. A wrong item may show that two packages were exchanged, but do not contact another customer directly. The provider should manage the custody and privacy of both orders.

Compare practical resolution options

Possible resolutions include finding and returning the item, safe re-cleaning, specialist repair, refunding the service charge, contributing to replacement, or another written settlement. Compare condition, age, original price, repairability, sentimental value, local availability, shipping, and the provider’s published terms.

Get any agreement in writing with amount, currency, payment method, repair provider, collection or delivery, deadlines, and whether acceptance closes the claim. Keep receipts for emergency replacement or repair and do not surrender the original item without a signed custody record.

Protect the claim if you must depart

Before checkout, confirm a named contact, case number, item description, evidence received, search or assessment deadline, and next update. Provide an email or messaging number and a forwarding address only when necessary. Ask who pays packing, customs, and tracked shipping if the item is found later.

Photograph anything left for assessment and obtain a receipt describing it. Save the hotel bill, laundry invoice, order form, messages, photos, repair estimates, and payment record. A complete handoff record lets the search or claim continue after travel without relying on memory.
